We are excited to announce that Dubai has been chosen as the location for our 25th Annual General Meeting (AGM). The event will take place at the Park Hyatt from 2-5 March 2025.

In these changing times, T.O.P.S. believes that working together and sharing experiences are essential for finding new opportunities in the freight forwarding industry. Our annual meeting is a chance for you to reconnect with fellow members, discover new business opportunities, and explore the full potential of your business in a relaxed, social environment.

We’ve chosen Dubai and the Park Hyatt as our venue, providing a dynamic and elegant setting for our event. Dubai’s advanced infrastructure, reputation as a global business centre, and strategic location with excellent flight connections make it easily accessible from various regions. We’re confident that this 3-day gathering will be a valuable experience, offering great opportunities for networking, and growth.

CHECK-IN & CHECK-OUT TIME

Check in time is 15:00

Check out time is 12:00 noon

Please note if early check-in is required, rooms need to be pre-booked a day before arrival. 

Late check-out:

Between 12:00 – 18:00: 50% charge of room rate will apply.

After 18:00: Full room rate will apply.


EXTENDED STAY: SPECIAL CORPORATE RATES

For those interested in extending their stay, we have secured a special arrangement with the hotel to offer our corporate rates for up to four additional nights before or after our event. These discounted rates are exclusive and confidential, so they cannot be published or shared publicly.

Important things you need to know

GETTING TO THE HOTEL

The Park Hyatt is approximately 5 km (about 3 miles) from Dubai International Airport (DXB).

Airport transfer service can be arranged at AED 210,00 (+/- EUR 50,00) per car per way.

The airport transfer is not included in the package fee and will be charged to your room.

Please let us know at time of registration if this service is required.

CANCELATION POLICY

The resort enforces a rigorous cancellation policy, which we are obligated to follow.

If a cancellation occurs, the following cancellation policy and fees will apply.

In the event of a cancelation which occurs:

  • Before 90 days of expected arrival:
    20% of the package fee will be due.
  • Between 89 days and 60 days:
    50% of the package fee will be due.
  • Between 59 days and 30 days:
    80% of the package fee will be due.
  • Between 29 days and arrival:
    100% of the package fee will be due (no refund)

VISAS

Tourist visas are required by all persons entering the United Arab Emirates with the exception of citizens from the following countries:

Andorra, Austria, Australia, Belgium, Brunei, Canada, Denmark, Finland, France, Germany, Great Britain, Greece, Hong Kong, Iceland, Ireland, Italy, Japan, Korea, Liechtenstein, Luxembourg, Malaysia, Monaco, Netherlands, New Zealand, Norway, Portugal, San Marino, Singapore, Spain, Sweden, Switzerland, USA, Vatican City, Poland, Slovenia, Slovakia, Czech Republic, Lithuania, Hungary, Latvia, Estonia, Malta, Cyprus, Croatia, Russia, Romania and Bulgaria.

Park Hyatt Dubai can arrange transit or tourist visas for a processing fee of AED 367.50 per person. To process the visa, we require the following details and requirements:

  • Electronically scanned colour copies of passports are required for clarity and ease of processing. The document size should be less than 30 kilo byte, and the passport should have at least 6 months of remaining validity.
  • Digital colour passport size picture in JPG or GIF format, not larger than 40 kilo bytes (i.e. colour standard passport picture or ID picture)
  • The application for visa will be forwarded to the immigration department upon completion of requirements maximum 7 days prior to the arrival. The visa process takes 4-5 working days excluding Friday, Saturday, and Public Holidays.

Please note that visa approval is subject to the Dubai Immigration Department and visa charges are non-refundable in case of cancellation, rejection, or no show. The visa issued will be valid for a single entry only and is not a multiple entry visa. The visa is valid for flight arrivals to United Arab Emirates only.
